Thumbs up Unanswered: How to update this in msaccess

    Dear Experts

I need your kind help, We maintain 2 databases one contains

    Training MAster (contains)

    Training program code
    Training Topic
    Cost of Program
    Admin Cost
    Other cost
    Professional cost

    Participants master ( Contains)

    Empcd
    TrainingProgramcode
    Cost of Program
    Admin cost
    Othercost
    Professional cost

What we are trying to do is , when ever a new training program is initiated we feed the programcode and cost of in the Training master

Who are taking part in the program is getting fed into Participants master
Once the programs are over , every quarter we wants to run and find out what is the Cost of Training on Individual employees

    Our request is

The cost of the training program has to get distributed to the number of participants based on the Training program

If suppose the cost of the

    Training program is 5000
Cost of Admin expens is 2000
    Other expenses is 2000
and Professional expendi is 6000 and no of participants is 20

That means the cost of Rs 15000 is to be distributed to this 20 employees based on the training program code from (trainingmaster) and the each account has to be properly distrbuted to the participants(participants master) and the work goes on like that

So we could able to identify the cost of training at any time and amount spent on any individual can be ascertained at any time . How to do the same

We tried our selves, but could get the desired result

    Experts, kindly help

    With Warm REgards

I agree with ST, from reading your post, it sounds like there's a fair amount of coding involved that I don't think you're prepared for unless you've got a developer/dba on-hand. I'd also plan on a little bit of a learning curve for whoever you hire. These sometimes aren't the type of coding you 'get it right the first time on' or other requirements typically change once you understand some of the criteria which you can re-utilize.

I am not an expert but I would do the following

    1. Record the participants using Empcd and TrainingProgramcode
    2. Use Dcount to count the Empcd for the TrainingProgramcode
    3. Using the total Cost of Program divide this amount by the Empcd count in step 2 you may have to do rounding etc.
    4. Now run an update query to update the Cost of Program for all employees where the TrainingProgramcode matches the selected TrainingProgramcode
    5. Now repeat steps 3 and 4 for the remaining fields Admin cost, Othercost
    Professional cost
This will give you a breakdown of the course for each employee. Each quarter etc you just need to total the fields for each employee.

The above assumes that the TrainingProgramcode is unique i.e there will no duplicate TrainingProgramcodes.
